OCDA BOARD MEETING
October 21, 2004

Meeting was called to order by President Steve Curtis. Members present were Bill Green, Julia Haley, Susann McDaniel, Peggy Shelby, Jo Ann Struck, Justin Ediger, Stephania Abell, Susan Mueller, Gail Simpson, Carolyn Wilkins, Stacy Weger, Jan Hulsey and Brent Ballweg.

ALL-OCDA JNIOR HIGH CHORUS
There was discussion about next year’s Junior High All-State chairperson as there is some doubt that Bob Humble will continue. In that event it was decided that Bob would continue with his duties this year, but Stephanie Abell will move up in the chair rotation and will start working on getting a clinician for 2006. The group will solicit and make suggestions of someone to step into Stephanie’s spot for ’07.

Peggy Shelby reported on arrangements for Junior High All-State auditions. Necessary sites are secured and rule changes have been addressed.

TREASURER'S REPORT
Jan Hulsey gave the treasurers’ report. (Attached) She stated that some OCDA money is still in the Gold Bank of Hennessey until we’re certain that all checks written on that account have cleared. The rest of the funds have been transferred to Bank One.

Steve Curtis reported that a bouquet from OCDA had been sent to Jimmy Zinn’s funeral.

ALL-OCDA WOMEN'S CHORUS
Gail Simpson reported on All-State Women’s Chorus. She said that Debra Spurgeon will serve as clinician and that OSSAA Sanction had been obtained. Medals and patches are ready. Z. Randall Stroope’s work "Lux Aeterna" will be inserted into the program in memory of Jimmy Zinn. Ron Wallace will accompany.

Carolyn Dougherty is next year’s chair and Lloyd Hawthorn from Hardin-Simmons will be the clinician.

There was some question about the rates listed in the OCDA contract with the Renaissance hotel. Steve Curtis will check on them.

The procedure for producing t-shirts for OCDA All-State participants was discussed. Peggy Shelby will make those arrangements.

ALL-OCDA JAZZ CHORUS
Justin Ediger reported on Jazz All-State. Kevin Zinn has agreed to make practice CD’s for the students in the choir.

One piece is still being written by the clinician, but other than that, everything is ready.

Justin has secured a photographer for the All-State concert. He will check with ViaMedia about recordings and Bill Perring will be asked to contact the plaque company.

The 2006 Jazz clinician will be Dave Barduhn of Mt. Hood Community College. Coordination with OMEA’s Jazz Band is ongoing.

All board members are requested to be on-site and help with the auditions.

SOONER STYLE
Brent Ballweg reported that the latest Sooner Style has a new two-color look.

Joann Strack moved and Stephanie Abell seconded a motion to increase the Sooner Style budget from $2,500 to $4,000 to cover the cost of printing in two colors. Motion passed.

Brent Ballweg suggested that in future we provide All-State entry forms in on-line format to save pages in the Fall Sooner Style. The phone numbers of chairpersons could also be listed for those who want hard copies sent and they could be provided at the summer convention, as well.

UNFINISHED BUSINESS
Justin Ediger reported on the search for laptop computers to be purchased for OCDA. He will probably buy 4 Dells at $1,426 each and a $300 printer next week.

NEW BUSINESS
At next summer’s convention an effort will be made to increase the number of members who are church directors.

Stacy Weger reported that the college members will be meeting to form a plan of action.

Julia Haley made a motion that she organize an OCDA Children’s Choir Festival to be held next April or early May. Jan Hulsey seconded and the motion passed. Julia will begin work on the planning right away.

Joann Strack suggested sending out a summer convention notices to all public schools before summer break so teachers can encumber money to attend. The 2 for 1 plan will be continued with some clarifications.

Justin will continue organizing the jazz choir for the summer convention. Joann Strack moved that the registrations costs for members of the jazz choir be reduced since they miss many of the sessions. Carolyn Wilkins seconded and the motion carried.

Other summer convention suggestions:
Attendance prizes will be continued
Bulletin boards in registration areas where members can post openings, opportunities, etc.
Print the OCDA website on the nametag lanyards
Notepads and pens donated by one of the exhibitors in packets
Add "Executive Director" to the nametags of board members

It was also suggested that we might include a job bulletin board as a part of the OCDA website.

Stephanie Abell moved and Justin Ediger seconded that the responsibility of taking minutes at Executive Director meetings would be the responsibility of regional representatives in yearly rotation, changing at the post-convention meeting. Motion carried.

A committee consisting of Tony Gonzalez, Joann Strack and Steve Curtis will be created to update the bylaws.

Peggy Shelby moved that the meeting be adjourned with a second by Jan Hulsey. Motion carried.
